Most small businesses hit the same wall: too big to wing their IT on a hunch, too small to justify a full-time IT director on the payroll. A fractional IT director fills exactly that gap. Here is what one actually does, and how to tell if you need one.
What a fractional IT director is
A fractional (or “virtual”) IT director is an experienced IT leader you bring in part-time, for a set block of strategic time each month or quarter rather than as a full-time hire. You get the thinking of a senior IT head, the roadmap, the budget, the security decisions, without the salary, National Insurance and pension of a permanent director.
The key word is strategic. A fractional IT director works in the boardroom, not the server room. They are there for the decisions that shape your business, not to reset passwords or fix a jammed printer.
What they actually do
A good fractional IT director typically owns:
- The IT roadmap. What to invest in, when, and in what order, so spending lines up with where the business is going.
- The budget. An honest view of what you should be spending, and where you are wasting money.
- Security and risk. Making sure the basics are covered and the business is not one bad email away from a crisis.
- Vendor oversight. Reviewing the contracts and suppliers you already have, and holding them to account.
- Project governance. Making sure the money you spend on IT projects actually lands.
In short, they are the person in the room who understands technology when a decision needs making.
How it differs from a managed service provider
This is where a lot of small businesses get confused. A managed service provider (MSP) sells you ongoing support: a helpdesk, a monthly per-user contract, someone to call when something breaks. That is reactive, day-to-day work.
A fractional IT director is the opposite. They are advisory and strategic. In fact, one of the most valuable things a fractional director does is sit above your MSP, on your side, checking you are getting value from the contract you already pay for. An MSP can never do that for you, because it is their own invoice under review.
You can happily have both: an MSP handling the day-to-day, and a fractional director making sure the strategy and the spending are right.
Signs your business might need one
You do not need a fractional IT director if you are a sole trader with a laptop and an email account. But it starts to make sense when:
- You have somewhere between five and thirty staff and no in-house IT expertise.
- You are making decisions about Microsoft 365, the cloud, security or AI and guessing your way through them.
- You suspect you are overpaying an IT provider but cannot judge whether the contract is fair.
- Nobody in the business actually owns technology, so it only gets attention when something goes wrong.
- You are growing, and the ad-hoc IT setup that worked at five people is creaking at fifteen.
What it should cost
Because it is part-time, a fractional IT director is a fraction of the cost of a permanent one. It is usually priced as a set block of time, for example a half-day a month or a half-day a quarter, so you know exactly what you are paying and exactly what you get. There should be no open-ended retainer and no reactive support creeping in through the back door.
